JOB SUMMARY

Crystal seeks a full-time exempt (1.0 FTE, 12-month) Director of Facilities and Safety (DoFS). The Director of Facilities and Safety works in concert with the entire Crystal Springs Uplands School community and facilities staff to maintain and enhance the physical plant of the school and the safety of people on both campuses. Furthermore, the Director of Facilities and Safety provides varied support to all constituencies within the Crystal community. These constituencies include but are not limited to faculty, administrative staff, parents/guardians, vendors, and students. The Director of Facilities and Safety is a hands-on position that requires both completion of work and management of work performed by others.

Qualifications
Essential Functions

Manage all facilities and grounds maintenance and enhancement on both campuses including fire protection, security, mechanical, electrical, plumbing, custodial, landscape, hardscape, hazardous waste streams, utilities, kitchen equipment, emergency systems, van shuttle fleets, and structures.

Manage the work order system to ensure work orders are fulfilled in a timely and efficient manner; creates work orders and ensures work order progress and status updates are communicated to requestors timely. Performs completion of work orders as needed.

Plan, forecast and execute deferred maintenance through continual strategic prioritization.

Oversee summer maintenance, construction, preventative maintenance, repairs, cleaning, Crystal vehicles, and capital projects.

Supervise and oversee outsourced maintenance services such as janitorial, pest control, vending, landscaping and HVAC.

Manage and evaluate all facilities-related service agreements.

Ensure compliance with contractual agreements and budgetary restrictions by outside vendors.

Periodically review and renegotiate vendor contracts including RFPs for new contracts. Obtain multiple vendor quotes for capital and deferred maintenance projects ensuring cost effectiveness and quality control.

Work closely with the CFOO on budgeting, planning, and scheduling of maintenance and capital expenditures; manages assigned budgets and provides analysis as needed.

Obtain bids and finalize contracts for all capital facilities projects.

Develop work schedules for outside vendors so as to not interfere with the educational program.

In coordination with the CFOO, develop and coordinate safety and emergency action programs and procedures for both campuses

Coordinate with the Director of Operations and local first responders on routine Emergency Drills

Lead Facilities, ERT, and Security teams in the event of an emergency.

Oversee van driver training for all personnel.

Oversee key issuance policies and coordinate with the Director of Operations as needed on key distribution.

Ensure compliance with governmental physical plant-related requirements such as fire protection, ADA regulations, and elevator mechanics.

Oversee Crystal drawing archive (hard and soft copy) library

Create/edit drawings as needed

Oversee event setups and coordination

Maintain the Crystal banner inventory and postings

Liaise with CFOO, Head of School, Board of Trustees and relevant contractors on long-term facilities planning and build-outs, including the Mansion Renovation project (for School Year 2025-26)

Evaluate and implement new technology methodologies in the facility field

Manage, maintain and certify Crystal safety equipment

Oversee EPA and hazardous waste streams

Ensure that sites and staff are compliant with CAL/OSHA/EPA as well as other applicable codes/regulations

Manage the AHERA report and compliance

Maintain confidentiality at all times

Supervisory Responsibilities



Supervise and manage facilities staff executing their duties such as preventive maintenance, work order completion, event set-up/tear down, and van shuttle maintenance and driving

Supervise, mentor, and evaluate all direct reports

Complete written performance reviews on a regular basis

Manage daily work schedules

Assist team in prioritizing duties

Oversee attendance and coverage of team duties

Oversee work order progress and relevant communication with affected constituents

Review and adjust team job descriptions on an ongoing basis

Train and build facility staff expertise




Required Education, Certifications, and Work-Related Experience



Five years of proven facilities management experience

Bachelor's degree

Five years of construction and project management experience

Operational knowledge of Google Suite, MSWord, MSExcel, and/or Crystal work order system




Preferences



Credential in Facilities management such as CFM or CEM

5 years of experience directly managing staff

Experience working in a school setting

Bilingual in Spanish




Physical Requirements and Work Environment



Able to work in a dynamic environment dealing with a wide variety of challenges, deadlines, and a varied and diverse array of contacts

Able to climb stairs

May work at a desk and computer for extended periods

Manual dexterity

Ability to lift 50 pounds and move 100 pounds with hand truck or dolly




Travel Required



Light travel between the Middle School and Upper School campuses, as needed. Attend required school-sponsored events as needed.

Salary and Benefits

This is a full-time, exempt, 1.0 FTE (40 hours/week), benefits-eligible, 12-month administrative staff position, and the annual salary is commensurate with experience within the range of $120,000 - $160,000. The recruitment period will remain open until sufficient resumes have been received and may close at any time a sufficient pool of highly qualified candidates has been established. First consideration will be given to individuals that apply between June 25, 2024 through July 9, 2024. Second consideration will be given to individuals that apply between July 10, 2024 through July 24, 2024. The ideal start date for this position is August 1, 2024.
