Job Summary:
Bucknell University is hiring an Administrative Assistant to support of Facilities Department. This position performs administrative tasks to support the Facilities Department, including coordinating staff and student employment: hiring, onboarding and employee engagement. Triages and escalates incoming calls and work orders to address any campus concerns. Performs administrative tasks including responding to phones; email; walk-ins; scheduling department trainings/meetings; coordinating events; processing invoices; disseminating information in meetings; creating reports and developing newsletters.

Job Duties:

Human Resources - Serves as the Facilities Department liaison to the Division of Talent, Culture and Human Resources. Works within the Facilities Department to assist hiring managers to: review and refine job descriptions for regular, casual and student positions; completes the job requisition process in Workday; coordinates and participates in interviews; assists with the hiring process - candidate selection, background screen review and coordinating job offers with HR; works with Facilities hiring managers to onboard new employees within the department.

Facilities Work Order Coordinator - Within the TMA work order system: processes work orders; enters new work orders, follows up on completed work; answers questions about work order status. Collects and distributes cost capture charges and answers any cost capture inquiries.

Office Support - Supports daily operations of the assigned department, including: coordinating meetings, including catering for events; creation and execution of employee events; updating calendars; creating and distribution of reports and department newsletter. Participates in office initiatives and prepares documentation for memberships, workshops, and conferences. Serves as the primary contact for CDL requirements and compliance.

Other duties as assigned: Participates in all aspects of program and department planning and in the establishment of department goals and objectives.
Minimum Qualifications:
  • High school diploma/GED
  • Three years of administrative/office experience
  • Demonstrated knowledge of computers and software including word processing, spreadsheet, email and calendaring applications
  • Demonstrated ability to take initiative and use good judgment
  • Demonstrated ability to work both independently and as a member of a team
  • Exceptional customer service skills
  • Commitment to the growth and development of students
  • Strong written and verbal communication, interpersonal, organizational, time-management skills


Preferred Qualifications:
  • Bachelor's degree
  • Four years of administrative/office experience
  • Proficiency with Banner, Workday and website maintenance
  • Previous work experience in a higher education setting


Physical Requirements:
  • Ability to work in an office setting, with or without accommodations, to include: sitting, standing, moving about the office and campus
  • Prolonged work at a computer

The offer rate will be based on a review of the candidate's credentials compared to the qualifications of the position, internal equity, and our overall compensation philosophy.

This role is not budgeted for visa sponsorship at this time, all candidates must be authorized to work in the US at the time of submission of the application.
